Contact form data: the name, email address, subject and message content you choose to submit.

Membership and volunteering data: name, contact details and, where relevant to an activity, emergency contact information provided voluntarily.

Technical data: limited server log information such as IP address, browser type and time of request, generated automatically when a page is served and used only for security and stability.

We do not knowingly collect data from children under 16 without the consent of a parent or guardian.

To answer your enquiry — lawful basis: consent (Article 6(1)(a) GDPR), given when you submit the form.

To administer membership and volunteer participation — lawful basis: performance of the association's relationship with its members (Article 6(1)(b)) and legitimate interests (Article 6(1)(f)).

To comply with Cypriot association, accounting and reporting obligations — lawful basis: legal obligation (Article 6(1)(c)).

To keep the website secure and functioning — lawful basis: legitimate interests (Article 6(1)(f)).

We do not sell, rent, trade or otherwise monetize personal data. We do not run advertising networks, behavioural profiling or data brokerage of any kind. Information you give us is used strictly for the conservation and community purposes described in this policy.

This website uses only what is strictly necessary for the site to be delivered to your browser. We do not deploy advertising cookies or third-party tracking pixels. If we ever introduce optional analytics, we will request your consent beforehand through a cookie banner and you will be able to refuse without losing access to the site.

The contact page embeds a map from OpenStreetMap; when that map loads, your browser contacts the map provider's servers, which is subject to that provider's own privacy terms.

Personal data is accessible only to authorised board members and volunteers who need it for the purpose it was given.

We may share data with Cypriot public authorities where we are legally required to do so, or with service providers (for example email hosting) acting as processors under written instructions and appropriate safeguards.

We do not transfer personal data outside the European Economic Area unless an adequacy decision or appropriate safeguards under Chapter V GDPR apply.

Enquiry correspondence: kept for up to 24 months after the matter is closed, then deleted.

Membership and participation records: kept for the duration of membership and for the period required by Cypriot accounting and association law thereafter.

Server logs: retained for a short technical period, normally no longer than 12 months.

You have the right to access your data, to rectification, to erasure, to restriction of processing, to data portability, and to object to processing based on legitimate interests. Where processing is based on consent, you may withdraw that consent at any time without affecting prior lawful processing.

If you believe your data has been handled unlawfully, you may lodge a complaint with the Office of the Commissioner for Personal Data Protection of the Republic of Cyprus.

We apply reasonable organisational and technical safeguards: transport encryption (HTTPS), access limited to authorised volunteers, password-protected accounts, and prompt deletion of data that is no longer needed. No online transmission can be guaranteed as absolutely secure, but we treat every disclosure incident seriously and will notify affected individuals and the supervisory authority where the GDPR requires it.

If this policy changes materially, the revised version will be published on this page with a new effective date. Please review it occasionally.
